Position Overview:
Duke Kunshan University's Executive Education and Lifelong Learning team, in collaboration with the Global Health Research Center, is seeking a highly organized and proactive Program Specialist to join our dynamic team. This role will support a project aimed at strengthening the regulatory ecosystem for In Vitro Diagnostics (IVD), a joint initiative between Executive Education and the Global Health Research Center.
The successful candidate will provide comprehensive administrative and program management support to ensure the smooth execution of project activities, including workshops, roundtables, reports, and executive development programs. In addition to the IVD program, the Program Specialist will collaborate with the Executive Education team to develop a broader life sciences practice, supported by the Global Health Research Center.
This role demands strong organizational skills, meticulous attention to detail, and the ability to work effectively with a diverse range of stakeholders, including regulatory authorities, manufacturers, healthcare companies, and international partners.

Associate Director of Executive Education and Lifelong Learning, with a dotted reporting line to the co-Director of Global Health
Essential Duties:
The responsibilities below apply to the IVD program and other life sciences-related executive education programs, including but not limited to the following:
1. Project Management: Oversee the end-to-end execution of programs. Liaise with clients, faculty members, partners, and regulators to ensure programs are delivered on time, meet quality standards, and stay within budget.
2. Event Management: Manage the planning and execution of events, including workshops, roundtables, executive development programs, and other non-degree programs.
3. Stakeholder Engagement: Build and maintain strong relationships with internal and external stakeholders, including faculty, clients, participants, regulators, and partners. Ensure program expectations are met and provide a satisfying experience for all participants.
4. Internal Collaboration: Work closely with internal teams to ensure high-quality, timely, and efficient processes for program design and delivery.
5. Business Development: Support the supervisor and team in business development efforts within the life sciences sector. This includes drafting business proposals and managing the business development process.
6. Budget Management: Manage program expenses to align with the established budget. Negotiate with suppliers to secure cost-effective services and oversee accounts payable and receivable.
7. Program Materials: Ensure the delivery of program-related materials that align with Duke Kunshan University's branding. Communicate with participants and company officials to provide instructions and information about their involvement. Develop program websites and WeChat posts to promote programs effectively.
8. Documentation: Maintain organized, accurate, and up-to-date program documentation.
9. Additional Tasks: Perform other duties as assigned by the supervisor.

Skills & experience
Required Qualifications:
1. Bachelor's degree is required, majoring in Business Administration, Project Management, or other related fields.
2. 2-3 years of related work experience is required.
3. Proficient in Mandarin and English.
4. A strong passion and general understanding of the life science industry.
5. A highly organized self-starter with strong communication skills and a customer service-oriented mindset.
6. Proven ability to manage a wide range of stakeholders effectively.
7. Ability to work under pressure, both independently and as part of a team.
8. Excellent communication skills with an analytical mindset.
9. Proficiency in MS Office, social media and video conferencing platforms.
10. Interest in and knowledge of higher education or business education is preferred.
11. Strong organizational skills and meticulous attention to detail.
12. Project management skills are desirable.
